iPads have become genuinely capable devices, powerful enough that the question “could we just give the team iPads instead of laptops” comes up more seriously now than it once did. It’s a fair question, and the honest answer depends far more on what someone’s role actually involves than on which device is objectively “better”.
This guide sets out what an iPad is genuinely good at for business use, where a laptop still wins, and how to think about the decision role by role rather than as a single blanket choice for the whole business.
Where an iPad Genuinely Works Well
For a meaningful range of roles, an iPad is a legitimate, and sometimes better, choice than a laptop.
- Note-heavy and client-facing roles: sales, account management, and consulting roles that spend much of their day in meetings benefit from the iPad’s lighter weight, longer battery life, and more natural note-taking with a stylus.
- Travel-heavy roles: business travellers whose core needs are email, documents, and presentations often find an iPad’s portability and battery life outweigh the flexibility they’d get from a laptop.
- Reading, annotation, and presentation-focused work: roles built around reviewing documents, marking up plans, or presenting to clients play to an iPad’s genuine strengths.
- Front-of-house and field roles: reception, warehouse, or site-based staff who need a simple, durable, quick-to-use device rather than a full desktop-class machine.
Most core Microsoft 365 and Google Workspace tools now run well on iPad, and the growing shift towards web-based, SaaS business software has narrowed the practical gap considerably. For a lot of everyday business tasks, an iPad genuinely holds its own.
Where a Laptop Still Wins
For other roles, the gap is still real, and worth being honest about rather than overselling the iPad’s capabilities.
- IT, technical, and development roles: anyone relying on PowerShell, command-line tools, specialist networking software, or full desktop administration simply can’t do that job on an iPad. This is one of the clearest, least negotiable limits.
- Heavy multitasking: roles juggling several full applications simultaneously, spreadsheets with complex data, multiple monitors, still work more naturally on a full desktop operating system.
- Specialist software: full versions of professional design, engineering, or finance software are generally still laptop or desktop only, iPad equivalents, where they exist, are often reduced-feature versions rather than genuine substitutes.
- Anything requiring true file system access: iPadOS has improved considerably here, but complex file management and certain business applications still expect a traditional desktop environment underneath them.
Security and Management Aren’t the Deciding Factor Anymore
It’s worth knowing that security is no longer a strong argument against iPads in a business context. Mobile device management tools such as Microsoft Intune and Jamf allow IT teams to enforce security policy, manage updates, and control access on iPads just as they would on laptops. If security was the main hesitation, that’s less of a barrier than it used to be, the deciding factor is really about the software and workflow a role needs, not whether the device can be managed and secured properly.
The Realistic Answer: A Mixed Fleet, Not One Blanket Choice
For most growing businesses, the sensible outcome isn’t choosing iPads or laptops company-wide, it’s matching the device to the role. A sales team member and an IT administrator have genuinely different needs, and treating the decision as one-size-fits-all usually means either overspending on capability nobody uses, or under-equipping people who genuinely need a full laptop.
A practical starting point: list out roles by what software and workflow they actually depend on day to day, then match the device to that, rather than starting from a preference for one platform and working backwards.
